Delegate Terms & Conditions
1 – REGISTRATION AND ADMISSION
- All delegates must register in advance and hold a valid delegate ticket to attend the event. The Organisers reserve the right to refuse entry to, or remove from the event, any individual at their discretion.
2 – DELEGATE BOOKINGS AND ALLOCATION
- The Organiser will notify the delegate within 7 working days of receipt of an application for a delegate ticket if they have been successful. Where an online booking system is in operation, the applicant will receive confirmation of their booking within minutes of receipt of confirmation from the secure payment provider.
- If for any reason the delegate is not allocated a ticket, any monies paid will be returned in full.
- The Organiser reserves the right to refuse any application for delegate tickets without giving any reason for such rejection.
- Where applicable, all security details required to attend an event must be provided to the Organiser with the application form and the Organiser must be notified of any subsequent changes no later than 4 weeks prior to the event.
3 – TICKET CONDITIONS
- Delegate tickets are issued to a named individual and are non-transferable without the written consent of the Organisers. Proof of identity may be required at registration.
4 – PAYMENT FOR DELEGATE TICKETS
- Unless stated otherwise on the booking form or brochure provided by the Organiser, the delegate ticket permits the individual to attend the event only and does not include any additional services.
- All bookings are accepted on a payment-with-booking basis and the Organiser reserves the right to refuse any application that does not comply with this requirement.
- The Organiser reserves the right to cancel any event. In this case, the full fee will be refunded. In the event that the Organiser postpones an event and the delegate is unable or unwilling to attend on the rescheduled date, a full refund of the fee paid will be issued.
- The Organiser is not responsible for any loss or damage as a result of substitution, alteration, cancellation or postponement of an event.
- Where an event includes presentations it should be noted that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the Organiser may necessitate substitutions, alterations or cancellations. The Organiser reserves the right to modify advertised speakers and topics without liability.
5 – ACCESS AND ENTITLEMENTS
- Delegate tickets permit access to the exhibition area, presentation sessions and the Meet the Buyer appointment system. The Organisers reserve the right to amend access entitlements without liability.
6 – DATA PROTECTION
- Delegates are responsible for how they share personal information with exhibitors, speakers or other delegates. Each exhibitor acts as an independent Data Controller. The Organisers accept no responsibility for the use or misuse of personal data by third parties.
7 – CONDUCT AND BEHAVIOUR
- Delegates must conduct themselves in a professional and courteous manner at all times. Any behaviour deemed disruptive, inappropriate, offensive or detrimental to the reputation of the event or the Organisers may result in removal without refund.
8 – CONFIDENTIALITY
- Any information obtained during the event relating to buyers, exhibitors, speakers or other delegates must be treated as confidential and must not be shared, reproduced or distributed without permission.
9 – INTELLECTUAL PROPERTY AND RECORDING
- All presentations, materials, systems, branding and content at the event remain the intellectual property of the Organisers or the relevant exhibitor or speaker. Audio recording, photography for commercial use or video capture is prohibited without prior written consent.
10 – EVENT PHOTOGRAPHY AND FILMING
- The Organisers may arrange photography, audio recording and video recording for promotional, marketing or reporting purposes.
- By attending, delegates consent to the use of any recordings in which they may appear for legitimate business purposes without compensation.
- Delegates who do not wish to appear in recordings must notify the Organisers in writing prior to the event.
11 – COMPETITOR ATTENDANCE AND EVENT PROTECTION
- The Organisers reserve the right to refuse entry or remove any delegate where they reasonably believe the individual is attending on behalf of a competing organiser, trade association or business.
- Attendance for competitive intelligence, imitation, replication or commercial exploitation is strictly prohibited. Attempting to observe, copy, reverse-engineer or exploit the event model or systems is prohibited.
- Breaches may result in removal, exclusion from future events and further legal remedies.
12 – DISCLAIMER OF COMMERCIAL OUTCOME
- Attendance does not guarantee business, sales or outcomes. All commercial arrangements remain between parties.
13 – SECURITY AND SEARCHES
- For safety and security purposes, the Organisers reserve the right to conduct proportionate searches of bags or personal items as a condition of entry. Refusal may result in denial of access or removal without refund.
14 – LIABILITY
- The Organiser does not accept liability for injury, loss or damage to persons or property, including personal belongings, except where required by law.
EVENT CHANGES
- The Organisers reserve the right to amend programme content, venue, timings, speakers or format without liability.
15 – FORCE MAJEURE
- The Organisers shall not be liable for cancellation or disruption caused by circumstances beyond reasonable control including government action, venue closure, power failure, industrial action or public safety risks.
16 – CANCELLATION
- Cancellation fees apply once a booking is confirmed.
- No fee for cancellations more than 10 weeks before the event
- 50% fee for cancellations between 6 – 10 weeks
- 100% fee for cancellations less than 6 weeks prior to the event
17 – GOVERNING LAW
- These Terms & Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
